RECEPTIONIST – B5

VACANCY EXISTS WITHIN THE GROUP SERVICES DIVISION OF FRASER ALEXANDER AT ROSEBANK

PURPOSE
This role exists for welcoming of visitors by greeting them in person or on the telephone, answering or referring queries and maintain security by following procedures.

RESPONSIBILITIES
Switchboard Management

  • Answer incoming telephone calls timeously and within agreed quality standards
  • Determine the purpose of callers and forward incoming phone calls to appropriate
    staff/department
  • Take and deliver accurate messages via computer system when appropriate staff are
    unavailable

Reception Management

  • Receive visitors at the front desk by greeting, welcoming, directing and announcing them
    appropriately to staff
  • Offer beverages for visitors
  • Ensure reception area is tidy and presentable with all necessary stationery and reading
    material (i.e. pens, brochures, etc.)
  • Maintain office security by following safety procedures and controlling access via the
    reception desk (monitor logbook and issue visitor badges where applicable)

Delivery Management

  • Receive and sort deliveries as they arrive
  • Notify appropriate staff of the deliveries and receive deliveries on behalf of staff when are
    unavailable
  • Send email to notify staff of deliveries and keep deliveries safe until collected
  • Handle outgoing deliveries as and when requested

Office Management

  • Ordering groceries for the office
  • Liaising with the office building maintenance team for all maintenance matters
  • Maintenance of the office alarm
  • Communication to all employees regarding office notifications
  • Office inductions and issuing of access cards for new employees
  • Invoice / credit card capturing and processing

QUALIFICATIONS

  • Grade 12
  • Relevant call centre / reception / administration qualification will be advantageous

EXPERIENCE

  • 2 – 5 previous experience in a similar position within a corporate environment

SKILLS, QUALITIES AND ABILITIES REQUIRED

  • Interpersonal skills
  • Good communicator
  • Independent
  • Microsoft office knowledge
